WHAT COUNTS AS A MANUAL TASK?

Good examples to test

  • Copying website enquiries into a CRM or spreadsheet.
  • Sending the same follow-up emails repeatedly.
  • Preparing recurring reports from several systems.
  • Creating documents from form submissions.
  • Moving information between two or more apps.
  • Chasing routine approvals, payments or appointments.
HOW TO USE THE RESULT

Cost does not automatically mean “automate it”

A process may be expensive because it genuinely requires human judgement. The useful question is how much of the repetitive part could be removed without making the customer experience or quality worse.

Start with stable, repeatable processes that follow clear rules and happen often enough for the saving to matter.

How the calculator works: weekly time = minutes per task × tasks per week × people, adjusted for any rework percentage. Annual figures use your selected working weeks per year. One working day is shown as 8 hours, and the monthly figure is based on the annual cost divided by 12.
